Terms of use
By registering through your company's invitation, creating a company account or using the Trackify app, you accept these terms between your organisation (the Client) and the Trackify service provider (the Provider).
Last updated: 21 August 2026.
1. The service
Trackify provides B2B tools for:
- Work-time recording classified by place (office, travel, project), including GPS only while the shift is open. Location is not recorded when the shift is closed. The state can also be set by hand under the company's policy.
- Offices, projects, a visit calendar, geographic check-in and photo evidence.
- Team, permissions and shift corrections inside the app, for administrators and authorised secretaries.
- Export of records (CSV/PDF) according to permissions.
- Optional functions: automatic shifts by schedule, assisted manual state, Outlook calendar import, inviting people by code or link.
Roadmap features are offered when they are available, with no fixed date unless agreed in writing.
2. Sign-up, accounts and roles
- The service is sold company by company. The first administrator enters with an invitation code or a link from Trackify or its distributor.
- There is no open public sign-up. Other people join by an invitation from the administrator.
- The Client names at least one administrator responsible for settings, offices, users and permissions (for example access to People, export, and the team's record).
- The Client must make sure workers have been informed about the processing (location during the shift, photos, and so on) under employment and data-protection law.
- Credentials are confidential. The Client is responsible for use of its organisation's accounts.
3. Permitted use and prohibitions
Permitted: internal B2B use for a legitimate work-time record and field operations.
Prohibited:
- Disproportionate monitoring, or monitoring outside the open shift, without a legal basis.
- Turning off or bypassing the open-shift notice in order to record location without the worker knowing.
- Unauthorised access, mass reverse engineering or overloading the system.
- Uploading unlawful or offensive content, or content that infringes third-party rights, in visit evidence or profile photos.
- Sharing accounts between people, or using the app outside the employment relationship the company authorised.
4. Location, device permissions and accuracy
The app asks for location (including background while the shift is open), notifications, camera (evidence and avatar) and, optionally, microphone (dictating notes). You can refuse them, and some functions will then be unavailable.
GPS accuracy depends on the device, the signal and the surroundings (tunnels, buildings, battery saving). Kilometres and times are supporting estimates. They do not replace human judgement or sector-specific legal requirements.
5. Availability, offline use and support
The service is provided as is, while it is still evolving. High availability is the aim, but uninterrupted service is not guaranteed. The app can work offline and sync later. The Client is responsible for reviewing records after connectivity problems.
Support is provided through the stated channels (email), according to the plan.
6. Prices and billing
Prices published on the site or in a quote bind the chosen plan. The Provider may change fees for future renewals with reasonable notice.
7. Ownership of data and portability
Data the Client enters (shifts, projects, photos, and so on) belongs to the Client. The Provider processes it only to provide the service and under the Privacy policy (as processor of employment data).
When the service ends, the Client can export data before the account closes. To delete a company account from the app, the Client must first download the work-time copy Trackify generates. After deletion, data is erased under the applicable technical procedures and legal periods. Trackify keeps only that copy for 30 days so it can be given back if the Client asks, and then deletes it.
8. Third-party integrations
Functions such as Microsoft Outlook, maps (OpenStreetMap), OSRM (route matching) or Sentry (errors) depend on third parties and on the Client's settings. Their use may be subject to those providers' own terms.
9. Limitation of liability
To the extent the law allows, the Provider is not liable for indirect damage, lost profit, or disciplinary or employment decisions the Client takes from GPS estimates or from records left incomplete by network or device failures.
Total aggregate liability is limited, except in case of wilful misconduct or gross negligence, to the amount the Client paid in the twelve months before the event.
10. Suspension and termination
The Provider may suspend access for non-payment, serious breach or a security risk. The Client may leave under the plan's cancellation policy (no minimum term, unless agreed otherwise).
Individual users can ask their administrator to close access, or exercise rights under the Privacy policy.
11. Changes
We may update these terms. Material changes will be sent by email or shown in the app. Continued use after the notice period means acceptance.
12. Governing law
Spanish law. Jurisdiction is as stated in the Legal notice, without prejudice to mandatory consumer-protection rules where they apply.
